Position Summary

Livingstone College is committed to fostering a culture of excellence,

institution while supporting the mission of empowering students to achieve

their educational and career goals.

This position assists in overseeing all aspects of registration, academic records management, course scheduling, and graduation processes while contributing to the development and implementation of policies and procedures that support institutional goals and student success.

Essential Duties & Responsibilities

Under the supervision of the Registrar, the Associate Registrar will provide administrative support in the following areas:

Academic Records Management:

  • Assist in maintaining the accuracy, security, confidentiality, and integrity of student academic records in compliance with institutional policies and external regulations at all times.
  • Assist with the implementation and management of records systems, including student information systems (SIS) and related technologies.
  • Ensure compliance with FERPA and other regulatory standards regarding the confidentiality and security of student records.

Registration & Enrollment Services:

  • Collaborate with academic departments to develop and publish the academic calendar, registration schedule, and course offerings.
  • Assist in addressing and resolving registration-related issues, including course conflicts, prerequisites, and credit-hour concerns.
  • Record transfer work for transfer students onto transcripts in Jenzabar.
  • Daily update student info in the system to include grade changes.
  • Prepare enrollment verification rosters for faculty.
  • Assist with auditing new students’ folders.

Degree Audit & Graduation:

  • Assist with audit processes to ensure students meet academic requirements for graduation.
  • Coordinate commencement-related activities, including the review and certification of graduation candidates.
  • Provide guidance to students and faculty on degree requirements and policies.
  • Prepare, distribute, and receive senior folders for exit interviews with faculty advisors.
  • Assist with the process of senior degree audits and graduation clearance for prospective graduates.
  • Assist with the retention and disposition of student records.

Course Scheduling & Curriculum Support:

  • Assist in the development of the course schedule in collaboration with academic departments and faculty.
  • Monitor classroom utilization and optimize scheduling to meet institutional needs.
  • Maintain the academic catalog and ensure alignment with approved curriculum changes.

Compliance, Data Collection & Reporting:

  • Support compliance with federal, state, and accrediting body requirements, including IPEDS, accreditation reports, and audit requests.
  • Certify students in DVA Enrollment Management System.
  • Generate and analyze data reports for institutional research, accreditation, and decision-making purposes.
  • Act as liaison with external agencies on reporting /compliance issues.
  • Assist with maintaining up-to-date information for the web page as it relates to the Office and general catalog.
  • Record transfer work for transfer students onto transcripts in Jenzabar.
  • Assist with transcript processing in the absence of AA/TC.
  • Serve as a School Certifying Office (SCO) for the Department of Veteran Affairs.

Leadership & Team Development:

  • Assist in developing awareness of policies, procedures, and technologies.
  • Serve as acting Registrar in the Registrar's absence.

Policy Development & Implementation:

  • Assist in the development and implementation of academic policies, procedures, and operational guidelines.
  • Provide recommendations to enhance efficiency and service delivery.

Student & Faculty Support:

  • Serve as a resource for students, faculty, and staff on academic policies and procedures.
  • Assist in addressing and resolving escalated issues related to academic records, registration, and graduation.
  • Promote a culture of service excellence and equity.

Education/ Experience

What you will need to be successful!

Required Qualifications:

  • BA degree from an accredited institution in administration, or related field.
  • At least three (3) years of progressively responsible experience in a registrar’s office or a similar administrative role in higher education.
  • Proficiency with student information systems (e.g., Jenzabar, Ellucian, Banner, Colleague) and related technologies.
  • Strong knowledge of FERPA and other relevant regulations.
  • Excellent organizational, communication, and interpersonal skills.
  • Demonstrated ability to manage multiple priorities and work collaboratively across departments.
  • Professional experience in a college or university registrar’s office.
  • Computer proficiency in Microsoft Office Suite and Zoom.
  • Excellent organizational skills and ability to multi-task.
  • Excellent communication skills on the telephone and via mail/writing.
  • Additional Duties as Assigned.

Preferred Qualifications:

  • MA degree in higher education administration, information systems, or related field, preferred.
  • Experience managing a registrar’s office or leading academic record-related projects.
  • Knowledge of accreditation standards and reporting requirements.
  • Familiarity with data analytics and reporting tools.
